Visual PDF signatures vs digital signatures: what is the difference?

A visual signature places an appearance on a PDF. A certificate-based digital signature also provides cryptographic identity and tamper evidence. They solve different problems and should not be described as equivalent.

Two meanings of signing a PDF

People often use 'sign a PDF' for two different actions. One is placing a handwritten mark or signature image on the page. The other uses a digital certificate to bind an identity to the document and detect later modifications.

JustFileKit currently provides the first kind: a visual signature. It is useful for routine approvals and documents that ask for a visible mark, but it does not issue a certificate or verify the signer's identity.

What the visual signature tool does

  1. Open the PDF signature tool and add the document.
  2. Draw a signature or upload a prepared signature image.
  3. Place and resize it on the intended page.
  4. Export a new PDF and inspect the final position before sending it.

The visible mark becomes part of the exported PDF, but it is not a certificate-backed proof of identity or a cryptographic seal.

When a certificate-based signature matters

Regulated submissions, contracts with explicit signing requirements, procurement systems and official filings may require a trusted signing provider, identity verification, timestamps or a named certificate authority. A pasted signature image cannot satisfy those technical requirements.

Follow the instructions from the recipient or governing organization. If they request a digital ID, certificate, qualified electronic signature or a specific signing platform, use that method instead of a visual signature tool.

A safe signing checklist

  • Read the recipient's exact signing instructions before editing the PDF.
  • Do not upload someone else's signature image without authorization.
  • Keep the original document and export to a separate file.
  • Confirm that all pages and fields are complete before adding the final signature.
  • Use an approved certificate service when identity assurance or tamper evidence is required.
